Welcome to the Concierca AI User Guide. Each chapter covers one area of the product, in the same order as the sidebar navigation — what the area is for, where to find it, what each control does, and typical workflows.
Product areas that require the Company Admin role are marked as such in each chapter. If an item in your sidebar shows a lock, your role does not include it.

What is Concierca AI?

Concierca AI is your company’s AI workspace. It gives every employee a personal AI agent, plus a team of specialized agents that work on your company’s data, follow your company’s rules, and report back to you. In one place you can:
  • Chat with your agents about anything in your business.
  • Build and manage agents — each with its own briefing, skills, tools, and data access.
  • Run missions — multi-step, repeatable workflows carried out by agents.
  • Browse your data in live table views, with fine-grained control over who sees what.
  • Capture company knowledge — strategy, SOPs, decisions, and memories that agents use automatically.
  • Connect your tools — email, calendars, CRMs and more via secure integrations.
Everything your agents do is visible: every run, every decision, every cost is logged and reviewable.

Signing in

Open your company’s Concierca AI URL in a browser and sign in with the email address your administrator invited. After signing in you land in the main workspace.
  • Multiple companies? If your account belongs to more than one company, a company picker appears at login — choose the workspace you want to enter; you can switch by signing in again.
  • First login. Depending on setup, invited users receive a one-time temporary password from their administrator. Sign in with it, then change it right away under Settings › Account.
  • Forgot your password? Use the forgot-password link on the login page to reset it by email.

Workspace concepts

The app shell

The workspace has a single left sidebar and a main content area.
  1. Company logo and name — your company’s branding (set by your admin).
  2. Department switcher — a dropdown showing your current department. Click it to switch; the DATA section and department-scoped content follow your selection.
  3. Navigation sections:
  1. Footer — light/dark theme toggle, collapse-sidebar button, the credits card, and your user menu (Account Settings, Logout).
Notes on the navigation:
  • Locked items. Entries your role cannot open are shown with a lock instead of being hidden — you can see the surface exists, but cannot open it.
  • Reorder items. Drag any entry within its section to reorder it. Your order is saved per user and restored on your next visit.
  • Collapse. Sections marked collapsible fold up via their header. The whole sidebar collapses to an icon rail with the panel button in the footer.
  • Badges. Inbox, Runs, Agent Inbox, and Missions show live count badges when items need your attention.
Press ⌘K / Ctrl+K anywhere to open search. Type at least a few characters to search across memories, knowledge, inbox, chats, and runs. Use ↑/↓ to move through results and Enter to jump to one. The same shortcut also surfaces quick navigation commands (Go to Inbox, Go to Agents, Go to Runs, Open Settings) and inbox channel filters; inside Chat it opens the chat-specific palette.

Keyboard shortcuts

Credits card

The card above your user menu shows your company’s remaining credit balance as a ring plus a number. The ring stays neutral while the balance is healthy, turns amber when 20% or less remains, and red below 10%. After a top-up above your plan’s allotment the card shows the absolute balance.

Floating Data Assistant

On data pages (Data views and the Inbox) a floating chat button appears bottom-right — the Data Assistant, a compact chat pre-scoped to the data you are looking at. See Chat for details.

Who sees what

Concierca AI uses one consistent visibility model:
  • Company isolation — everything lives inside your company; there is no cross-company access, ever.
  • Role gates — admin-only surfaces (Brain, Skills Review, templates, most Settings sections) are locked for members.
  • Department scoping — data views and department-scoped content only appear for members of that department (or admins).
  • The visibility picker — content you create (knowledge, memories, and similar) carries a “Who can see this?” setting: keep it personal, share it with a department, or share it with the whole company. Agents respect the same boundaries — an agent can never read data its owner cannot see.
